Split Large Tasks

Break down large tasks into smaller, manageable subtasks with the split feature. This makes organization and tracking easier, and can be adapted for various scenarios by adjusting or removing parts as needed.

On Mac with the use of keyboard and mouse, in some cases, splitting tasks helps to create tasks very quickly, as below the video demostrates.

Recurring Tasks

For tasks that occur regularly or share similar structures, use the repeat task feature to quickly generate multiple instances—no need to recreate each one from scratch.

Copy from Other Projects

QuickPlanX supports creating tasks by copy/paste and drag-and-drop, making it easy to reuse work from other projects.

Duplicate Projects and Tasks

QuickPlanX allows you to duplicate entire projects or selected tasks (and their children) into a new project. You can also adjust start dates, reset completion and cost columns, and more. Any project can serve as a template — there's no need for a separate template management feature.

Apply Color Schemes Efficiently

Easily apply the color of a group task to all its children at every level. This is the standard workflow: apply the parent's color to children, then adjust individual child colors as needed.

Fast Multi-Task Removal

On Mac, when you need to remove several tasks in sequence, select the first task and then press the "backspace" key repeatedly to quickly delete tasks one by one.

Linking Tasks Efficiently

QuickPlanX makes it easy to link and unlink tasks efficiently, especially when using keyboard shortcuts. This is particularly helpful for quickly creating link chains or one-to-many task relationships.

Adjust Dates and Durations Efficiently

On Mac, use keyboard shortcuts to quickly modify task dates and durations for enhanced productivity.

  • Command(⌘) + Right Arrow(→) to move the selected task forward one day
  • Command(⌘) + Left Arrow(←) to move the selected task backward one day
  • Shift(⇧) + + to increase the duration by one working day (for single tasks only)
  • Shift(⇧) + - to decrease the duration by one working day (for single tasks only)

Other Tips

  1. You may find it more efficient to work on a Mac compared to an iPad or iPhone. With automatic sync, you can do most of your work on Mac, then continue on iPad, and finally on iPhone as needed.
  2. In Table view, using copy and paste to update cell values can be faster than changing them manually. For example, to update the "% Comp." of a task manually, you need to click the cell and then select a value — two steps. If you need to set the same "% Comp." value for multiple tasks, copy and paste allows you to do it in a single step for each cell, saving time.
  3. Choose the most suitable view and use the inspector for updates—you may find this approach more comfortable and efficient.
  4. On Mac, linking or unlinking tasks by holding the "Fn" key and dragging between tasks is an intuitive and efficient method — often more convenient than other options available in the app.
  5. Explore the app menu and context menus to discover additional features and functions that can enhance your workflow.
  6. There are two common approaches to updating task properties: If you need to update the same columns across multiple tasks, Table View is often more efficient. If you want to update all properties of a single task, using the Inspector is usually the better choice.
